Import Configuration Steps in Salesforce Marketing Cloud (SFMC)
Import Configuration in Salesforce Marketing Cloud (SFMC)
Introduction:
Salesforce Marketing Cloud (SFMC) provides powerful tools for managing customer data and marketing campaigns. One important process in SFMC is importing external data into Data Extensions. This allows marketers to upload subscriber information, customer purchase data, and marketing preferences.
In this blog, we will explore the Import Configuration process in SFMC, including the steps involved, required file specifications, and how to perform the import practically.
Understanding the Import Process in SFMC
The data import process in Salesforce Marketing Cloud consists of three main stages:
-
Upload File
-
Configure Mapping
-
Review & Import
These stages ensure that the data file is correctly structured and mapped to the fields in the Data Extension.

Stage 1: Upload File
The first step in the import process is uploading the source data file that contains the records to be imported into the Data Extension.
The file used in this example is:
- ImportExportDE20250124.csv
Required Fields for Import
The CSV file must include the following fields to match the Data Extension structure.
Subscribe Key: Text (e.g.,
abc123)FirstName: Text (e.g.,
John)Email Address: Email (e.g.,
john@example.com)JoinAgeDays: Number (e.g.,
30)NextReviewDays: Number (e.g.,
10)PointYTD: Number (e.g.,
1000)SpendYTD: Decimal (e.g.,
1234.56)PurchaseYTD: Number (e.g.,
5)LastPurchaseDays: Number (e.g.,
15)FreeShipping: Boolean (
trueorfalse)Marketing_FlashSales: Boolean (
trueorfalse)Marketing_Campaign: Boolean (
trueorfalse)
The target Data Extension used for this import is:
- ImportExportDE
This Data Extension will store the subscriber data from the uploaded file.
The uploaded file must follow these conditions:
- The file must be less than 20MB if uploaded directly.
- Larger files should be uploaded using FTP.
- The file must be a delimited file, such as .csv or .txt.

Stage 2: Configure Mapping
After uploading the file, the next step is to map the file columns to the Data Extension fields. Mapping ensures that the correct data is inserted into the correct fields.
SFMC provides three mapping options.
- Map by Header Row
In this method, Salesforce Marketing Cloud automatically matches the column headers in the file with the Data Extension fields.
Example:
| Subscribe Key | Subscribe Key |
| FirstName | FirstName |
| Email Address | Email Address |
This method works best when the CSV headers exactly match the Data Extension field names.

- Map by Ordinal
In this method, the system maps the columns based on their position in the file.
Example:
| Column Position | Field |
|---|---|
| 1 | Subscribe Key |
| 2 | FirstName |
| 3 | Email Address |
- Manual Mapping
Manual mapping allows users to manually select which file column maps to which Data Extension field.
This option is useful when the file column names differ from the Data Extension field names.

Once everything is verified, the import activity can be executed to load the data into the Data Extension.

Stage 3: Review and Import
The final stage is reviewing the import configuration before running the import.
During this stage, Salesforce Marketing Cloud verifies:
- File structure
- Field mapping
- Required fields
- Data compatibility

Conclusion
The Import Configuration process in Salesforce Marketing Cloud is an essential feature for managing and updating subscriber data. By properly structuring the CSV file, configuring field mapping, and reviewing the import settings, users can efficiently upload large volumes of data into Data Extensions.
Understanding this process is crucial for implementing automated marketing workflows, customer segmentation, and personalized campaigns.
